Seasonal Hire Program
The Seasonal Hire Program is a program designed as an opportunity for high school students, college students, and teachers to work at UTHealth Houston during the summer and gain invaluable work experience and new insights into career possibilities while also earning an income.
Seasonal Hires must be hired in a temporary status and therefore may not be employed for a period of more than four and one-half months. These individuals may be hired either as full-time or part-time and must be a minimum age of 16 years. For additional information, please see below:

Hiring Process
Note: Prior to an offer being extended, a Seasonal Hire candidate must complete a UTHealth Houston Online Employment Application.
Hiring Manager’s Responsibilities:
- Submit a job requisition for approval as a Seasonal Hire (0930) within the Applicant Tracking System.
- Contact Human Resources at (713) 500-3168 to advise of the selected candidate and salary amount.
- Generate and submit the new hire personnel action form to Systems Data Resources (SDR) with the appropriate new hire information received from HR.
Human Resource’s Responsibilities:
- Ensures the selected candidate has completed the UTHealth Houston Online Employment Application and forwards completed application to the Hiring Manager for his records.
- Extends the job offer to selected seasonal hire candidate (this is necessary to ensure consistency of new hire information and the appropriate scheduling of pre-employment and new hire orientation – Morning session only).
- Provides the Hiring Manager with new hire information.

The criteria to determine the Seasonal Hire pay rate is based upon the incumbents skill level, their experience, and education. Below is the job title, code and salary range to be used with this program.

Hazardous positions (Eligible for 18 years or older)
For those Summer Hire positions working in a position identified as involving potentially hazardous activities or exposures, the Fair Labor Standards Act (FLSA) requires the individual to be at a minimum age of 18 years. Such activities include, but are not limited to:
- Motor vehicle driver defined as any individual who, in the course of employment drives a motor vehicle at any time
- Power-driven machine operator
- Workers in occupations involving exposure to ionizing radiation

Seasonal Hires Under 18 Years of Age
The following guidelines must be followed:
- The requestor for the project is to coordinate with the head of the unit or department where the proposed study or work is to take place to obtain and complete the first section of a form entitled Clearance Request for Minors in the Workplace Study. Additional information about this can be found within the Handbook of Operating Procedures (HOOP) 164, or by contacting Environmental Health and Safety (EHS) at 713-500-8100. Individuals who might request this form are the supervisor of the laboratory area where a tour or project is planned, the directing teacher for a UTHealth Houston cooperative project with an area school, or a minor who wishes to work or study at the university. After the first section is completed, the minor should give the form to his or her parent or legal guardian for review and signature. In the case of a group project, the project organizer may wish to have the top section of the form completed before photocopying it for distribution to all minors participating in the project. This form should then be returned to the hiring supervisor of the designated project area for review.
- The supervisor of the designated project area must submit the completed form to EHS at least two weeks before the proposed start of study or work. This form must be signed and dated by the minor’s parent or legal guardian, the requestor, and the supervisor of the designated project area before confirmation of the effective date of hire. The completed form can be faxed to EHS at 713-500-8111, or mailed interoffice to OCB 1.330. Once a Clearance Request for Minors in the Workplace Study form has been approved or disapproved by EHS, the request will be forwarded to the supervisor who wishes to hire the minor.
- It is the responsibility of the supervisor to ensure that all minors are closely supervised while in a laboratory or process area. (Refer to HOOP 164 Minors in the Workplace ).
Employees under 18 years of age are not allowed into laboratories or process areas where direct exposure to the following may occur:
- Ionizing radiation or radioactive materials
- Radiation-generating equipment
- Hazardous or toxic materials
